PurposeLearnlight is looking for a dynamic and motivated individual to join our People Team!In this role, you will have the chance to positively impact our culture and team member experience by managing not only day-to-day administrative and financial tasks relating to our Barcelona co- working office but also assist with company-wide community events and internal processes which support our multi-cultural team around the world.Working with the Head of People Support you will also help to streamline and enhance all administrative, HR, social law and financial functions relating to our office spaces.ResponsibilitiesMain Responsibilities Organize and schedule meetings and appointments Provide general support to visitors Review, approve and purchase requested items including office supply acquisitions Be the point of contact for suppliers and ensuring office supplies and resources are restocked Ensure invoice documentation is maintained and up to date Ensure security, integrity and confidentiality of data Maintaining office policies and managing health and safety procedures Assist with implementing culture amp; community initiatives Assist with travel requests, when required Manage London amp; Spain switchboards Manage hot desk and meeting room reservations for the co-working spaces across the regions Log, track and process daily company expenses Manage shared email accounts Oversee the maintenance of the company apartment in Barcelona Help with staff onboarding amp; offboarding processesRequirementsCompetencies Excellent written and verbal communication skills with the ability to build collaborative relationships. Strong organizational and planning skills. Ability to work under pressure to meet tight deadlines while maintaining attention to detail and quality. Ability to plan and prioritize among responsibilities to meet commitments aligned with organizational goals. The ability to show courtesy, kindness, and empathy to others. Excellent analytical and problem-solving skills. Ability to excel in a multi-cultural, fast paced environment.Skills C2 level of Spanish. C1 level of English. Proficiency in MS Office Suite.Education amp; Experience High School degree; additional qualification as an Administrative Assistant, Secretary or related field will be a plus/preferred.
