Having recently closed our $40M Series B financing, we are focused on expanding geographically, enhancing our products and technology, and continuing to build our world-class team.About the RoleApollo is seeking an Administrative Associate who will be based in Lusaka. As Apollo's Administrative Associate, you will be responsible for executing complex administrative functions with minimal oversight while providing timely, accurate, and effective administrative support for the team in Zambia. The position necessitates strong organizational skills, the ability to prioritize multiple demands, the ability and desire to work across our Center and across Company, and robust interpersonal skills.Number of open positions - One (1) Responsibilities:Support day-to-day activities for the Country Head.Act as a resource to staff on institutional processes, procedures, and requirements, and provide input and recommendations on organization-specific administrative practices.Proactively manage and/or monitor multiple tasks and information for people, including calendars, meeting, conference and workshop logistics, travel arrangements, various aspects related to visitors/vendors, supplies, mail/mailboxes, records, training, publications, space planning, and the distribution and flow of information.Work cooperatively with other department leaders on company tasks, activities, and events.Help with onboarding new employees and obtaining site access for subcontractors, stakeholders, and visitors.Coordinating interview logistics for potential new hires in the companyWork with the finance team to track the spending, ensuring that the Zambia entity is within the assigned budgetWork closely with the Country Head to come up with processes and procedures to ensure the team is within the budget, for example, implementation of policies for how many days a role can be in the fieldWork closely with vendors and suppliers to ensure timely delivery of set deliverables including but not limited to internet provision, cleaning services, etc.Check expenses for each member of the team to ensure that we are all within the set budgets
